What is bulk signing and when do I need it?

Bulk signing means signing many documents in a single operation instead of one at a time. Rather than authorising each file separately, the signatory reviews a signature folder and releases it as a batch.

Typical use cases are invoice runs, certificates, official notices, policies and account statements — wherever hundreds or thousands of similar documents leave the organisation regularly. At very high volumes what is often needed is not a personal signature at all but an electronic seal of the organisation.

Here's how bulk signing works:

  • Collect the documents: Similar documents are gathered automatically into a signature folder, usually straight from the business system.
  • Review the folder: The signatory inspects the folder and can remove individual documents before releasing it.
  • Request-specific authorisation: The release applies to that specific batch, not as a standing permission — the signatory's sole control is preserved.
  • Signature creation: The signature creation device generates signatures for every document in the batch in one pass.
  • Individual traceability: Each operation is logged separately and remains individually evidenced, even though it was authorised as part of a batch.
  • Return and distribution: The signed documents are filed and dispatched through the intended channel.

Signature or seal — how to tell:

  • Personal signature: Where a person signs with intent and makes a declaration, an electronic signature is required.
  • Electronic seal: Where an organisation merely confirms origin and integrity, a qualified electronic seal is normally sufficient — fully automatable and not tied to an individual.
  • Combination: Many organisations run both in parallel: seals for automated high-volume dispatch, signatures for contracting processes involving individuals.
